Terms of Service

RankFlow is a web application for planning, writing, publishing and measuring SEO content. It is provided by RankFlow (“RankFlow”, “we”, “us”). Depending on your plan, it includes:

• Content strategy, briefs, keyword research, and AI-assisted writing, analysis and images.
• Publishing to WordPress (through the RankFlow plugin or an Application Password), to a custom REST API endpoint or to a GoHighLevel blog.
• Landing pages, and static websites built with RFW CMS that RankFlow uploads to your own hosting over FTP or FTPS.
• Google Search Console reports, URL submission through the Google Indexing API, and Google Business Profile management.
• A Chat AI widget for your website, and a Contacts list for the details visitors share with it.
• Site Health checks that crawl your public website, automatic internal linking, team collaboration and support tickets.

Which modules, integrations and limits you get depends on your plan. Features change over time, as described below.

You register at app.rankflow.works. Every new registration is reviewed by RankFlow: the account stays pending until we approve it, and we may decline it. We email you when we receive your request and when it is approved or declined.

People who join through a valid team invitation are activated without this review.

If you use RankFlow for a company or for clients, you confirm that you may accept these terms on their behalf.

Give accurate information and keep it up to date. Keep your password to yourself; you are responsible for what happens under your account. If you suspect unauthorised access, tell us at hello@rankflow.works.

The owner of a site, and its managers, can invite people by email and give each of them a role: Manager, Editor or Viewer. They can also limit which sections a member can open and whether the member may use AI features. Invitation links expire after seven days.

Invited members work inside the owner's site and are not invoiced separately. Their AI usage counts against the site owner's allowances.

The site owner is responsible for the people they invite and for what those people do in the site. Members cannot change their own role; only an owner or manager can.

Your plan sets which modules you can use and how much of them: for example the number of sites, articles per billing period, keyword research runs, Site Health scans, storage for uploaded media, and AI allowances. RankFlow may also set individual limits for your account.

AI usage is measured per feature, in requests or tokens depending on the feature. Allowances reset at the start of each billing period. We notify you when you have used about 80% of an allowance and again when it runs out; after that, the feature stops working until the next period or until your limit is raised.

We may change plans and their limits and prices. A new price for your plan applies from a later billing period, and we will tell you before it does.

RankFlow bills by invoice, in US dollars. Unless we agree otherwise, the billing period is one month, and the invoice for each period is issued when the period starts.

Pay each invoice using the payment details we provide. If an invoice is still unpaid when its grace period ends, it is marked overdue and your account is suspended automatically, which means you can no longer sign in. We email you when this happens.

Suspension blocks access; it does not delete your data. Access returns when the overdue invoice is paid or otherwise settled with us.

You keep ownership of what you bring to RankFlow: your sites, texts, images, files, keywords and the data of services you connect (your content). As between you and RankFlow, the output RankFlow generates for you, such as articles, images, pages and replies, belongs to you, and you may use, edit and publish it as you wish.

You give RankFlow a limited permission to store, copy, process and transmit your content only as needed to provide, secure and support the service for you, for example to send it to an AI provider to generate output or to publish it to a site you connected. We do not sell your content or use it for advertising.

You are responsible for your content and for what you publish: that you have the rights to what you upload, and that what you publish is accurate and lawful.

The RankFlow software, design, templates and documentation remain ours. You may use our templates and blocks in the pages you build with RankFlow.

When you connect WordPress, a custom REST API, FTP hosting, GoHighLevel, Google Search Console, Google Business Profile, Brevo or another service, you authorise RankFlow to access it with the permissions you grant and to act on your instructions, for example to publish or update posts, upload site files, read search data, submit URLs to Google or reply to reviews.

Connect only accounts and websites that you own or are authorised to manage. You are responsible for the access you grant.

Some features act on their own once you turn them on, such as autopilot, which writes articles and schedules them for publishing, automatic internal links in published articles, automatic URL submission to Google and automatic review replies. Check their settings: you are responsible for what they do under the settings you choose.

You can disconnect an integration at any time in the app, or revoke RankFlow's access in the connected service itself. Your use of those services remains subject to their own terms.

You agree not to:

• Add, crawl or publish to a website that you do not own or are not authorised to manage.
• Create or publish content that is unlawful, deceptive, defamatory or infringing, or spam that breaks search engines' spam policies.
• Use the Chat AI widget or contact capture to collect visitors' data without a legal basis or without telling them how you use it.
• Try to access other customers' data, get around plan limits or security measures, or overload, probe or attack the service.
• Upload malware, or reverse engineer the service except where the law expressly allows it.
• Resell the service or give access to it to anyone outside your team without our written agreement.

We may restrict or suspend an account that breaks these rules or puts the service, other customers or third parties at risk.

Much of what RankFlow produces is generated by third-party AI models. AI output can be wrong, incomplete, out of date or similar to output produced for others. Review it before you publish it or rely on it.

Search volume and keyword difficulty in keyword research are AI estimates based on search results, not measured figures. Numbers marked as coming from Google Search Console are measured by Google.

Site Health, content analysis and other automated checks can miss problems or flag things that are not problems.

RankFlow does not guarantee rankings, traffic, indexing, leads or any other result.

We work to keep RankFlow available and reliable, but we do not promise that it will be uninterrupted or error-free. Maintenance, outages at our providers or at connected services, and limits set by third parties, such as Google API quotas, can interrupt features.

We may add, change or remove features, modules, integrations, and AI providers or models. If we remove something that is a significant part of your plan, we will tell you in advance wherever we reasonably can.

RankFlow is not a backup service. Keep your own copies of content that matters to you.

You can stop using RankFlow at any time. To close your account, email hello@rankflow.works from the address on the account. Invoices already issued for periods that have started remain payable.

A site owner can delete a site in the app at any time; this permanently deletes the site and the data stored with it from our database.

We may suspend or close an account that breaks these terms, that has an invoice still unpaid after its grace period, or where the law requires it. Where it is reasonable, we will warn you first and give you a chance to fix the problem.

When an account is closed, we delete it together with the sites it owns, as described in the Privacy Policy. Content you have already published to your own website stays there.

RankFlow is provided “as is” and “as available”. To the extent the law allows, we make no promises beyond those in these terms, including that the service will suit a particular purpose.

To the extent the law allows, RankFlow is not liable for indirect or consequential losses, such as lost profits, revenue, rankings, traffic or data. Our total liability for all claims relating to the service is limited to the amounts you paid RankFlow in the 12 months before the event that gave rise to the claim.

Nothing in these terms limits liability that cannot be limited by law.

You are responsible for claims that arise from your content, the pages you publish, the accounts you connect and the way you handle your website visitors' data.

We may update these terms. The date at the top shows the current version. We will tell account owners about material changes by email or in the app before they take effect. If you keep using RankFlow after that, the updated terms apply to you.

These terms are governed by the laws of the country where RankFlow is registered. This does not affect any mandatory rights you have under the law of the country where you live.
